"Discipline of process is what separates premium from average. We don't skip phases. We don't rush launches. We don't guess."

— Emeka Onyejizu, Founder

Most AI agencies will quote you a fast turnaround with vague deliverables, build something quickly, hand it off, and disappear. Six months later their clients are calling asking what happened to the dashboard, why the AI is giving wrong answers, and where the monthly review is.

Ardena's process exists to protect both the client and the firm. Every phase has a purpose. Every deliverable is documented. Every system is QA-tested before it goes live. The 14-day timeline isn't padding — it's the disciplined sequence that produces systems that actually work in production.

Phase By Phase

What happens, when it happens, and why.

Each phase is structured to deliver specific outputs that the next phase depends on. Skip a phase and the system underperforms. We don't skip phases.

1
Phase 01 · Discovery 60 minutes · Day 0

Strategy Call

A 30-minute mapping conversation. We walk through your current call flow, lead flow, customer journey, and existing tech stack. We identify exactly where leads, calls, and revenue are leaking — and we agree on the metrics that will measure success.

You Leave The Call With
  • A documented map of your current operations
  • Identified leak points where revenue is currently lost
  • A recommended service tier matched to your scope
  • Defined success metrics for the engagement
  • A clear understanding of timeline and investment
  • No-pressure decision window to think it through
What You'll Feel
Most clients leave the call having clarified their own operations more in 60 minutes than they had in months. The strategy call earns its place even if you never engage Ardena.

Phase 02 · Diagnosis 2 days · Days 1–2

Systems Audit & Build Plan

Once you sign, we go deep. We document your existing tech stack, design your custom system architecture, and lock the build scope. You receive a written plan with timelines, deliverables, KPIs, and integration points before a single line of automation is built.

You Receive
  • Complete tech stack inventory document
  • Custom system architecture diagram
  • Locked build scope with line-item deliverables
  • Integration plan for your existing tools
  • KPI dashboard specification
  • Final timeline with checkpoint dates
Why This Phase Exists
Cheap agencies skip the audit. They build with assumptions, hit edge cases in production, and your customers pay the price. Two days of audit prevents two months of fixes.
3
Phase 03 · Construction 5 days · Days 3–7

Build

The system gets built. AI receptionist trained on your business specifics. Chatbots configured across required channels. Funnels and automations deployed. CRM and calendar integrated. Dashboards instrumented. Every component built on production-grade infrastructure — not duct-taped prototypes.

What We Build
  • Custom AI voice trained on your business
  • Calendar booking integration (live during calls)
  • SMS follow-up workflows configured
  • CRM sync with full field mapping
  • Smart escalation rules and routing logic
  • Real-time performance dashboard
During This Phase
You receive build updates at the midpoint and end. No daily check-ins, no decisions to make — your job is to run your business. Our job is to build.
4
Phase 04 · Quality Assurance 3 days · Days 8–10

QA & Test

End-to-end test calls with scripted scenarios. Edge case handling. Stress tests. We deliberately try to break the system — angry callers, confused callers, callers asking questions outside the scope, callers in noisy environments. Every failure mode gets documented and resolved before launch.

QA Scenarios We Test
  • Standard inbound inquiries (booking, info)
  • Hostile or angry callers
  • Out-of-scope or off-topic questions
  • Multi-step booking flows with edits
  • Noisy or low-quality call connections
  • Smart escalation triggering accuracy
Your Role
You're invited to call the test number yourself and try to break it. The more aggressively you test, the better the production system performs.
5
Phase 05 · Controlled Rollout 2 days · Days 11–12

Soft Launch

Your AI handles overflow and after-hours calls while your team continues primary coverage. This staged launch lets us catch any final real-world issues — at low stakes — before full go-live. You see live performance data on your dashboard within hours.

During Soft Launch
  • AI handles after-hours and overflow calls
  • Your team continues primary coverage
  • Real performance data flows to dashboard
  • Daily review of edge cases and adjustments
  • Customer feedback monitored and reviewed
  • Final tuning based on real-world calls
Why This Matters
Real customer behavior is different from QA scripts. Soft launch surfaces the 5% of cases QA misses. You catch them with the AI handling overflow, not with the AI handling everything.
6
Phase 06 · Go Live 2 days · Days 13–14

Full Launch & Handoff

Your AI becomes the primary intake system. We deliver your reporting dashboard, train your team on escalation handling, and confirm everything is operating to the standard agreed in the build plan. Documentation is handed over. The system is yours.

Handoff Deliverables
  • Live reporting dashboard with full access
  • Team training session (recorded for replay)
  • Complete system documentation
  • Escalation playbook for your team
  • Monthly optimization schedule confirmed
  • Direct support contact established
The Moment
Day 14 is when the math changes. Calls that were going to voicemail are now becoming bookings. Leads that were going cold are now responding within 60 seconds. The system you bought is now producing.
7
Phase 07 · Continuous Improvement Ongoing · Day 15+

Optimization

The system gets better every month. Monthly performance reviews. Monthly system tuning. Quarterly strategic audits. New scripts, new edge cases, new integrations get added as your business evolves. Premium isn't a one-time deliverable — it's an operating relationship.

Ongoing Deliverables
  • Monthly performance review report
  • Monthly AI script and routing tuning
  • Quarterly strategic system audit
  • New integration support as needed
  • Edge case resolution as discovered
  • Direct line to optimization team
The Long Arc
Most AI agencies disappear at handoff. We stay. Six months from now, your system will be measurably better than launch — because someone on our team is actively making it so every month.
The Difference

What separates Ardena from the rest of the market.

Most AI agencies skip phases to look fast. We follow the process to deliver systems that actually work. Here's the difference, side by side.

Typical AI Agency
The "Move Fast" Approach

What you get from most agencies in this space.

  • 5–7 day turnaround promised, often slipping
  • No formal audit — assumptions about your business
  • Templated AI configurations applied to your scope
  • Limited or no QA before going live
  • Direct full launch, no soft rollout
  • One-line monthly reports with no actionable data
  • Vague handoff, unclear ownership of the system
  • Disappears after 60 days — no real optimization
Ardena Consulting
The Disciplined Approach

What you get when you engage with us.

  • 14-day timeline, structured around 7 phases
  • Two-day audit before any building begins
  • Custom-trained AI tuned to your specific business
  • Three days of QA with stress-test scenarios
  • Two-day soft launch before full deployment
  • Full reporting dashboard with daily real-time data
  • Documented handoff with team training included
  • Monthly optimization built into every engagement
Timeline By Tier

Different services. Same process. Tier-appropriate timelines.

The methodology is consistent across every Ardena tier. The timeline scales with scope. Here's what to expect for each tier.

Service Tier Timeline Phases Best For
Starter Voice Entry 14 days Compressed 7-phase Solo operators, single inbound line
Speed-to-Lead Bundle 21 days Standard 7-phase Growing teams, multi-channel intake
Growth Bundle Popular 21 days Standard 7-phase Established operations, full lead engine
Marketing Engine Bundle 30 days Extended 7-phase Mid-market, marketing automation focus
Authority Bundle 30 days Extended 7-phase Established firms, full operating engine
Enterprise Custom Custom 45–60 days Custom-scoped phases Multi-location, regulated industries
Before You Start

What to bring to the strategy call.

The strategy call is a working session — not a pitch. The more accurately you can describe your current operations, the more precisely we can map the system you need.

None of these are required. But every item you bring sharpens the conversation and shortens the path to a recommendation that actually fits your business.

Strategy Call Preparation
The more you bring, the sharper the recommendation
  • Approximate inbound call volume — daily or weekly average (rough estimate is fine)
  • Current call handling situation — who answers, when calls go to voicemail, escalation path
  • Your existing CRM or lead management tool — name only, we'll handle the integration
  • Your calendar booking platform — Google, Outlook, Calendly, or none yet
  • Your top 5 most common caller questions — what your front desk repeats every day
  • Current biggest operational bottleneck — where revenue feels stuck
  • Approximate average customer value — helps us model ROI accurately
  • Any specific outcomes you're hoping for — what would success look like in 90 days
Process Questions

What you're probably wondering.

Common questions about how the Ardena process works in practice.

We don't accelerate the process. The 14-day timeline is the minimum viable disciplined sequence — compressing it means skipping QA or soft launch, both of which protect your customers from a bad first experience. If a competitor offers a 5-day build, they're skipping phases. The system will work less reliably and you'll spend more on rework over the following 12 months than you saved on the initial build.
Yes. The 14-day timeline is calendar days from kickoff, but if your business needs to pause — a major event, a key team member out, an unexpected priority — we adjust. We'd rather extend than compromise quality. We just need 48 hours notice and a confirmed restart date.
Less than two hours total across the 14 days. The 60-minute strategy call. A 30-minute mid-build review. A 15-minute QA participation window. A 30-minute handoff training. Everything else is our work — your job is to run your business while we build the system.
QA finding problems is the entire point of QA — we expect to find them. Most are resolved within hours. If a problem requires significant rework, we extend the timeline rather than launch a broken system. You'll know about any extension as soon as we do, with a clear explanation of why and a new launch date.
Your existing phone line stays as primary. The AI is set up to handle overflow — calls that come in when your team is on another line — and after-hours calls that would normally go to voicemail. You see real call data on your dashboard immediately. Any issues surface at low stakes, not at full call volume.
No. Monthly optimization is included in the operational retainer for every tier. There are no surprise fees, no per-tweak charges, no add-on optimization packages. The retainer covers ongoing tuning, performance review, and reasonable scope adjustments as your business evolves.
You own the system. The setup fee is yours regardless. The monthly retainer is month-to-month with 30 days notice — no annual contracts, no cancellation fees. If you cancel, the system continues running on the infrastructure you've paid for; we simply stop optimizing it. You can also re-engage at any point in the future.
It can, and often it should. The whole point of the system is to handle peaks your team can't. If your busy season is approaching, starting the 14-day build now means going live before peak — capturing leads you'd otherwise lose. The strategy call is a good place to map your seasonal calendar against the build timeline.
Ready When You Are

Day 0 is your strategy call.

The seven-phase process starts the moment we get on the call together. Book a 30-minute strategy call. We'll map your operations, identify exactly which phase will deliver the most value first, and show you what the timeline would look like for your specific business.
